As an assigned provider portal Administrator/Office Manager or Practice Maintenance User, you have direct control over who can use our provider portal and who can see your patients’ protected health information (PHI).
To support HIPAA compliance, we ask that you review the User Management section of our provider portal (found under the More menu option in the top right corner of the screen). Here, you can:
- Deactivate portal users who no long work at your organization.
- Confirm that users are assigned to the correct roles and providers to ensure they can only view information that meets HIPAA’s minimum necessary standards.
- Create accounts for those in your organization who are still using the phone as part of their workflows.
More Reasons To Use The Portal
While you review your portal users, also consider those who could benefit from having an account or expanded permissions to perform their jobs. Here is an important update that may affect your assignment decisions:
New! Save Drafts
To support our providers who divide work between administrative and clinical staff, we have introduced the ability to save a draft preauthorization request or draft emergent inpatient admission notification for 96 hours. This allows an administrative staff person to start the request/notice and someone with the clinical expertise to address the MCG/Clinical Criteria and upload the appropriate supporting documentation. The portal was also updated to help users identify when clinical information is required by stopping the submission of a request/notice until required MCG/Clinical Criteria and required documents are attached.
The person identified as the Contact during the first part of the transaction will be sent reminder emails when there is a draft to address and another if the draft expires.
Please tell the providers and staff in your organization that you can create and update their portal accounts to take advantage of this enhancement.

If you are not the right person to manage portal users, you can easily set up someone else to replace you in this role. The new Administrator/Office Manager or Practice Maintenance User can then update your permissions to the correct role.
